  • Social Media: Instagram and Facebook can be great for finding inspiration and discovering vendor portfolios. We have gotten many gigs from Facebook groups. A good tip is to seek vendors who are getting unbiased recommendations in the comment sections.

  • Word of Mouth: Asking friends, family, and recent newlyweds for recommendations.

3. Check Credentials and Availability

Once you have a shortlist of vendors, verify their credentials and availability:

  • Credentials: Ensure that the vendor is licensed, insured, and has a good track record. For example, photographers should have a portfolio of previous work, and caterers should have appropriate certifications.

  • Availability: Confirm that the vendor is available on your wedding date. Many popular vendors book up well in advance, so it’s best to reach out as early as possible; we cannot stress this enough! Especially if you are planning a September wedding as it is the busiest month.

4. Schedule Interviews and Consultations

Meeting with vendors in person or via video call is an excellent way to gauge their personality, professionalism, and fit for your wedding. If it is not feasible, a phone call can work jsut fine. During these meetings:

  • Discuss Your Vision: Share your ideas and see how the vendor responds. They should be enthusiastic and willing to work with you to achieve your vision. It’s your day, there is no reason you can’t get everything you want within reason and your budget.

  • Ask Questions: Inquire about their experience, services, packages, and pricing. Ask for references from past clients and examples of their work. A good question to the DJ for example would be; what kind of sound system do they have? Do you have a 15 or 18 inch subwoofer, or just 12’s? Ask them an off the wall question and see how well they respond to it even if you just make something up; do they respond in a playful manner, or more jerky sounding?

Once you’ve gathered information from several vendors, compare their quotes and packages. Make sure you understand what’s included in each package and any additional costs that might arise. It’s important to balance cost with quality, so choose vendors who offer the best value for your budget without compromising on your vision. Strictly choosing vendors based on the lowest possible prices only is a recipe for disaster. Unless of course there are budget constraints. where in that case it's best to get creative and pull all of your resources.

  • Payment Terms: Note the deposit amount, payment schedule, and accepted payment methods. Is the deposit they require included in the total price?

  • Cancellation Policy: Understand the terms if you need to cancel or reschedule. We offer free cancelation with a minimum of 30 days until the event date (not including the deposit). This is so we can find a replacement gig with ample time left.
